Privacy Policy

Lektera provides document management software for contractors, property managers, and their subcontractors. Contact: privacy@lektera.com.

• Account information name, email address, organization name, and password (stored hashed) when you sign up.
• Document and contact data the PDFs and contact records you (or your subcontractors) upload, including insured names, carriers, policy numbers, effective and expiration dates, and coverage details extracted from those documents.
• Usage data pages visited, actions taken in the app, browser type, and approximate location derived from IP address, used to operate and improve the Service.
• Billing information handled by our payment processor (Stripe). We do not store full card numbers on our servers.

• To provide, maintain, and improve the Service.
• To extract structured data from documents you upload using AI models, so we can show expiration dates and coverage status.
• To send transactional messages reminder emails, vendor portal notifications, billing receipts, and important account notices.
• To detect, prevent, and respond to fraud, abuse, or security incidents.
• To comply with legal obligations.

We do not sell your personal information. We share data only with vendors that help us run the Service, under contract, including:

• Cloud hosting and database infrastructure providers.
• Email delivery providers used to send reminders and notifications.
• AI model providers used to extract fields from uploaded PDFs.
• Stripe, for payment processing.

We may also disclose information when required by law, to protect our rights, or in connection with a merger, acquisition, or asset sale.

Organizations can generate public vendor portal links so their subcontractors can upload documents directly. Anyone with a portal link can view the associated vendor's required coverages and upload PDFs. Do not share portal links publicly.

We retain account, document, and contact data for as long as your account is active. If you cancel your subscription, your data is retained for up to 90 days to allow reactivation, then deleted from active systems. Backups may persist for a limited additional period before being overwritten.

Data is encrypted in transit using TLS and at rest by our infrastructure providers. Access to production systems is limited to authorized personnel. Passwords are stored as one-way hashes. No system is perfectly secure please use a strong, unique password and notify us immediately of any suspected compromise.

Depending on your location, you may have the right to access, correct, export, or delete personal information we hold about you, and to object to or restrict certain processing. To exercise these rights, email privacy@lektera.com. Account owners can also delete data directly from within the app.

We use cookies and similar technologies to keep you signed in, remember preferences, and understand product usage. You can control cookies through your browser settings; disabling required cookies may break parts of the Service.

Lektera is a business tool and is not directed to children under 16. We do not knowingly collect information from children.

Lektera is operated from the United States. If you access the Service from another country, you consent to the transfer and processing of your information in the United States and other jurisdictions where our subprocessors operate.

We may update this Privacy Policy from time to time. Material changes will be notified by email or an in-app notice. The "Last updated" date at the top reflects the most recent revision.
